REGISTER FOR EMDC & HOUSING TOGETHER

There are three types of charges for the EMDC conference:

1. Registration fees to cover the cost of the event.
2. Housing fees to cover your housing and food onsite at the venue.
3. Meal plan for those staying off campus.

You may register yourself, and others (like your spouse, or a roommate) at the same time.

1. Registration fees are as follows:

The fee is non-refundable; paid in advance to EMDC, and very close to the amount we charged back at EMDC 2010!*

This is the fee schedule for Pre-EMDC Training Tracks (14-27 May, 2025)

• $80 (single) for Early Registration (Dec 2024-Feb 2025)
• $100 (single) for On-Time Registration (March-April 2025)
• $120 (single) for Late Registration (May 2025)

This is the fee schedule for the EMDCConference (27-30 May, 2024)

• $80 (single) for Early Registration (Dec 2024-Feb 2025)
• $100 (single) for On-Time Registration (Dec 2024 – April 2025)
• $120 (single) for Late Registration (May 2025)

There is no Post-EMDC Training offered this year.

Please note as the following may also apply to your situation:

• No scholarships are available this year, attendees must pay their own registration, travel and housing.
• Full Meal Plan for those staying off campus is $65 (3 daily meals & coffee breaks)
• Partial Meal Plan for those staying off campus is $50 (lunch & dinner & coffee breaks)
• Day rate to is $15 USD (access to facilities, no meals, no coffee break).

2. Housing fees are as follows:

EMDC 2025 is held at Be Betteld-Zelhem Conference Center just outside Zelhem, Netherlands. If you stay on site, the package includes a bed and 3 meals (breakfast, lunch and dinner). Fees are paid directly to EMDC who has negotiated a group discount and will handle the billing with De Betteld.

Please do NOT try to book at De Betteld. The EMDC team is handling all housing registration, room assignment and housing payments.

When you register, please fill in as much information as you know and save your registration. You will be sent a registration code which may be used to login and edit your registration when you have more information.  Rooms are available with single beds, double beds (2 persons/bed) and bunk beds(1 person/bed).

Housing at De Betteld is limited to 350 beds and may fill up quickly. We will NOT be organizing any overflow housing. You will need to book your own housing at this time. If you have a security concern about staying at De Betteld, please stay off site with friends or at a different hotel. When you register for EMDC 2025 you will indicate if you want De Betteld housing or you will be making your own housing arrangements.

Please Note: Participants staying off campus will be required to pay the Day Rate. You may also purchase a meal plan if desired.

The recommended earliest Check In Date is 13 May . If you arrive prior to 13 May you will need to find your own accommodations or pay De Betteld a day rate for the additional days.
The latest Check Out date is 31 May De Betteld has another conference scheduled for early June. All attendees must be out of their rooms before 1 June to allow them time to clean and prepare.

De Betteld housing costs shown below are per person, per night unless otherwise stated. (Includes bed, 3 meals, coffee breaks and transfer to and from the Zelhem train station)

IMPORTANT NOTES: Chalets have a shared bathroom, kitchen and living room. Each Chalet is a different size. They are very similar to what westerners call a mobile home.

Additional Housing Notes

De Betteld Center

The fees above include a bed, 3 great meals, coffee/snacks, and van pick up/ drop off at the train station! Have a look at the Betteld site it’s a rustic camp ground that has served us well for many years. Those wishing to bring children, please write us at info@emdcon.org.

Payment By Transfer

If you belong to any of these organizations (SIL/WBT/WA/TSCO/WGA), please see a payment transfer option on the payment page, or visit our Help Center to facilitate an easy transfer. (This applies to both EMDC fees AND housing).

This is a very easy transfer process if you fill in the right fields (account numbers to be charged).  We will take care of it on the other end.

Housing Packages

We have set fees for housing ‘packages’ which cover the dates of Pre-EMDC and EMDC. There are some combinations of check-in date and events which are not permitted. Some examples include:

• Arriving after the start of the event you have registered for.
• Arriving more than one day before the start date of the event for which you are registered.
• Departing more than one day after the close of the event your are attending.

Roommates

Sharing the room is a great way to keep your costs down. To help with logistics we encourage you to arrange your room mate before you register, and then include both people on the one registration. Both of you will be able to edit the details after the initial registration. This is a great help to our housing team. Thanks for your understanding!

In the registration you can request that we allocate a room mate for you.  We are happy to do this, however we will allocate the next available person, attending the same event, of the same gender. If you wish to room with your preferred roommate then include both people on the one registration. Both of you will be able to edit the details after the initial registration. Participants Staying Off Campus

De Betteld is giving us a “package deal”. We realize that some participants may prefer to make their own arrangements for housing & food off campus for security or financial reasons.  However, EMDC is charged by De Betteld for the use of the meeting rooms, facilities and coffee breaks which are available to all participants. Thank-you for understanding!

The “Day Rate” is $15 USD/person/day.

Off Campus participants may also purchase a full or partial meal plan (see above).

To our local participants: Yes, we know there are “cheaper places in Chiang Mai.”  We have always kept our fees as low as possible, and we are using Horizon because it works for our purposes (i.e. is large enough with sufficient meeting rooms). Thank you for understanding! 

Overflow

Betteld may fill up quickly – once full you will need to make your own arrangements for housing and travel to and from the conference venue each day. We will do what we can to assist, but our resources are limited.

Transfer from Zelhem Train Station to De Betteld

If you are booked at De Betteld, they will provide a shuttle to and from the nearest train station (more details later). Make sure your flight details including arrival and departure times are recorded correctly in your EMDC Event Registration.

Local Public Tansportation

If you choose not to wait and provide for your own transportation, public transportation is available. De Betteld is about about 5 km from the train station in Zelhem.

Cancellation and Refund Policy

Please know that our volunteer helpers and staff work to keep the registration fees for the Training tracks and conference very low. EMDC does not use an outside, middle-man, conference service organization which would significantly increase registration costs. We are still charging about the same amount we did in 2010. EMDC is by far the least expensive conference of its kind that you can attend. We cannot easily refund registration fees as as international payments, transfers, and refunds are costly and they require a bank account that we do not have.

For these reasons our small registration fees are non-refundable.  If, however, you have extenuating circumstances you may write to info@emdcon.org to make an appeal.  Thanks for your understanding.

Please pay the EMDC registration fee when you register, even if you pay your housing later.
EMDC must submit deposits and rental weeks/months in advance. We need your registration payments to make these necessary purchases.
