REGISTER FOR EMDC & HOUSING TOGETHER

There are two types of charges for the EMDC conference:

Registration fees to cover the cost of the event.
Housing fees to cover your housing and food onsite at the venue.

You can register yourself, and others (like your spouse, or roommate) at the same time.

1. Registration fees are as follows:

The fee is non-refundable; paid in advance to EMDC, and very close to the amount we charged back at EMDC 2010!*

This is the fee schedule for Pre-EMDC Training (13-16 May, 2026)

$80 (single) $120 (couple; i.e. $60 per person) for Early Registration (till Feb, 2026)
$100 (single) $150 (couple; i.e. $75 per person) for On-Time Registration (March-April, 2026)
$120 (single) $180 (couple; i.e. $90 per person) for Late Registration (May, 2026)

This is the fee schedule for EMDC (18-21 May, 2026)

$80 (single) $120 (couple) for Early Registration (till Feb, 2026)
$100 (single) $150 (couple) for On-Time Registration (March-April, 2026)
$120 (single) $180 (couple) for Late Registration (May, 2026)

For all of the above fee schedules the following rates may apply

Special Rate Participants from many countries pay $0 in registration. Trainers (not breakout presenters) also receive da special rate. All participants must still pay for your own travel and housing (go here to see if you qualify for reduced rates).
Day Pass (One Day Registration Fees) is $30 (Registration Fees only) or $60 including lunch and breaks on site (details in Housing section below).

2. Housing fees are as follows:

EMDC 2026 is held at The Empress Hotel in Chiang Mai, Thailand. If you stay on site, the package includes room and 2 meals (breakfast & lunch).

Note that dinner is not included. Particpants are encouraged to explore the many nearby dining options. USD $10 (300 Thai Baht) per meal would be quite adequate.

Please do NOT try to book at The Empress Hotel. The EMDC team is handling all housing registration, room assignment and your housing payment.

When you register, please fill in as much information as you know, you save your registration and update the details later. You can book a room for 1, 2 or 3 people per room. Rooms are available with single beds (1 person / bed) or double beds (2 persons / bed).

If you have a security concern about staying at The Empress Hotel, please stay off site with friends or at a different hotel. When you register for EMDC 2026 you will indicate if you want The Empress Hotel housing or you be making your own housing arrangements.

Note that participants making their own arrangements for housing are required (by the venue, Empress) to pay a $30 USD day fee, which includes lunch.

The recommended earliest Check In Date is 11 May. The recommended latest Check Out Date is 28 May covering Pre-EMDC, EMDC & Post-EMDC. There is a non package room rate for days before and after which includes the room and breakfast only. You will have to purchase other meals and food separately.

The Empress Hotel housing costs shown below are per person, per night unless otherwise stated. Including room, 2 meals, and coffee breaks. Transfer to and from the airport is not included in this package rate.

Additional Housing Notes

Housing Packages

We have set fees for housing ‘packages’ which cover the dates of Pre-EMDC, EMDC, and Post-EMDC. There are some combinations of check-in date and events that are not permitted. Some examples:

Arriving after the start of the event you have registered for.
Arriving more than one day before the event you have registered for. If you do so, you will be charged the single accommodation rate for that room.

Roommates

Sharing the room is a great way to keep your costs down. To help with logistics we encourage you to arrange your room mate before you register, and then include both people on the one registration. Both of you will be able to edit the details after the initial registration. This is a great help to our housing team. Thanks for your understanding!

In the registration you can request that we allocate a room mate for you. We are happy to do this, however we will allocate the next available person, attending the same event, of the same gender. If you wish to room with your preferred roommate then include both people on the one registration. Both of you will be able to edit the details after the initial registration. Day Participants – Staying Offsite

The Empress Hotel is giving us a “package deal”. We realize that some Asia-based people can make their own arrangements for housing & food off site for less cost. However, EMDC is charged by The Empress Hotel for the use of the meeting rooms and facilities, and for coffee breaks (which includes day participants).

The “Day Fee” is $30 USD / day which includes lunch, breaks, and venue hire (meeting package from Hotel). You will need to purchase a Day Pass or a Full Registration package for EMDC attendance also.

To our local participants: Yes, we know there are “cheaper places in Chiang Mai.” We have always kept our fees as low as possible, and we are using The Empress Hotel because it works for our purposes (i.e. is large enough with sufficient meeting rooms). Thank you for understanding! Also know that our volunteer helpers and staff have kept the fees very low (we do not use an outside, middle-man, conference service organization that would increase the fees).

Overflow

The Empress Hotel may fill up quickly – once full we will place you in a nearby overflow hotel or you could book your own accommodation and purchase a day package. We will do what we can to assist, but our resources are limited.

Payment By Transfer

If you belong to any of these organizations (SIL/WBT/WA/TSCO/WGA), please see a payment transfer option on the payment page, or visit our Help Center to facilitate an easy transfer (In 2026 this applies to both EMDC fees AND housing).

This is a very easy transfer process if you fill in the right fields (account numbers to be charged). We will take care of it on the other end.

Cancellation and Refund Policy

You may have noticed that we do not charge much for pre-EMDC Training, EMDC, or Post-EMDC Training. It is by far the least expensive conference of its kind that you can attend.

You need to pay our small registration fee when you register. We make purchases or rentals based on the number of people coming (so your money is soon spent). We cannot easily refund the fee as international payments, transfers, and refunds are costly and they require a bank account that we do not have.

If you change your registration type (e.g. from Pre to Post) and the amount due does not change, we can adjust your registration type. But if your change results in a lesser amount due, the difference cannot be refunded.
